THE DJ PJ PROCESS

Creating a great event involves collaboration and communication between the DJ and the customer (Host).  Here is the process used DJ PJ to make sure your event is amazing,  and the process to get there seamless.

PRE-PARTY

Initial Consultation:

The Initial Consultation is more or less a customer needs assessment. I prefer to handle these in person, where the event will happen. Sometimes an online meeting will work. The DJ and the customer should have an initial meeting or consultation to discuss the vision and goals for the event. Several questions are key to starting the process. This includes the type of music preferred, any special requests, the atmosphere they want to create, and logistical details like venue size and layout.

  • Are the enhancements that require additional spend?

Music Selection and Planning:

Based on the consultation, I will create a playlist or setlist tailored to your preferences and the event's theme or purpose.  

  • I always ask for a few of your favorite songs to pick a key mix for the party, this will be a custom mix or mashup made specifically for your event.
  • You will receive a play list for review. 
  • Your feedback is critical and your suggestions are needed to finetune the vibe.

Logistics and Equipment:

We will discuss logistical details such as equipment requirements, setup and breakdown times, and any special considerations for the venue. It's essential to ensure that I have everything I need to deliver a seamless performance. 

  • Special sound requirements for the space.
  • Lighting and effect upgrades
  • Are there 2 track lists needed for different areas

Communication and Updates:

Throughout the planning process, we will maintain open communication to address any questions, concerns, or changes to the plan. 

  • Regular updates and check-ins can help ensure we are on the same page leading up to the event. 
  • A week before the event we will finalize the playlist
  • The schedule of the event should be finalized
  • Announcements should also be provided a week prior to the event.

Sound Check and Rehearsal:

Before the event, I will conduct a sound check to ensure that the audio equipment is functioning correctly and that the sound levels are appropriate for the venue. 

  • If possible, a rehearsal or run-through of the event program can help iron out any issues and ensure a smooth flow on the day of the event. 

EVENT DAY

What I Cover

On the day of an event, I have several key responsibilities to ensure the smooth running and success of the event. Here’s a breakdown of what they might entail:

Setup and Sound Check:

  •  Depending on the size and scope of the event I will arrive 1-3 hours early to set up all necessary equipment, including speakers, microphones, mixers, and lighting if applicable. 
  • Conduct a sound check to ensure audio levels are balanced and equipment is functioning properly. 
  • Music Selection and Performance:  Tailor the music selection to match the mood

Announcements and Interaction:

  • I willwork with you prior to the event to see if there are announcements, such as introducing speakers, making announcements, or directing guests.
  • I will communicate with you throughout the evnt.  You should also assign a secondary contact that is approved to give direction.
  • Interact with the audience in a professional and engaging manner, if required.
  • Requests. I am all about the vibe and requests can hurt and help the vibe.  Please see section on Request Ap.

Music Selection and Performance:

I will Tailor the music selection to match the mood, theme, and preferences discussed with the event organizers.

  • Mix and blend tracks seamlessly to maintain a good flow of music throughout the event.
  • Read the crowd and adjust the playlist as needed to keep guests engaged and on the dance floor.

CLOSING THE EVENT

After the event concludes, dismantle equipment safely and efficiently.

  • Ensure the venue is left in the condition it was found, following any venue-specific rules for equipment removal.

Overall, a DJ's responsibilities on the day of an event are crucial in creating a lively atmosphere, managing the flow of activities, and ensuring a memorable experience for all attendees.

  • A few days after your event you will receive a follow up email with a survey.  Please complete the survey it helps me perform, better in the future. 
  • You will also receive some of your Events Track vias electronic format. Please add some of that audio to your social media and tag me.
